Glossary of Teleconference and Web Conference

Terms to help you understand your teleconferencing or web conferencing service and features.

Agenda: Guide to help you plan and lead your meeting effectively.
Agent: Party who arranges for their clients to use our services, and is compensated for this service by Vesta Networks.
Audio Conference Voice communication between three or more participants, who are in separate locations, linked by a telecommunications medium.
Automated: No operator required to perform conference functions.
Billing Code: GL Account, Cost Code, Project Number, Client Reference, etc., which clients can request to appear on their invoices for accounting convenience.
Chairperson: Host or leader of the meeting.
Comm Line: A separate communication line in a conference used only for giving special instructions to the operator. These instructions are not heard on the conference.
Conference Call: Phone meeting which entails three or more lines brought together on a conference bridge.
Conference Coordinator: Also called operator. An employee of Vesta Networks who oversees conference functions and provides special services to conference participants.
Conference Entry Code Also called Passcode. A five- or six-digit code entered after clients have connected to the Vesta Networks system which directs them to the appropriate meeting.
Conference Roster: An option available on conference call, that allows the chairperson to play a list of names of conference participants, which are recorded upon entering the conference.
Conference Security: An option available on conference call, that allows the chairperson to block any more incoming lines, including Vesta Networks operators.
Confirmation: Report sent to a Reserver after an Event Service has been arranged, noting dial-in numbers, passcodes and conference instructions.
Customer Support Rep: Employee of Vesta Networks who provides help with special event planning, account coordination and problem resolution.
Dial-In: Conference participants join meetings by dialing an 866 number, a local bridge number, and an international toll free number.
Dial-Out: Vesta Networks operators dial participants at their location to connect them to the conference. Conference call features Chairperson Dial-Out, which allows the Chairperson to access an outside line and allows them to join the conference.
Digital Duplex: Fully digital lines that allow for maximum clarity in sound quality. Duplexing technology allows multiple speakers to be heard at one time, without clipping or any degradation in sound quality. As close to "in-person" as it gets!
Entry Announcement: An optional feature of conference call which allows callers to record their names before entering the conference. As they connect to the meeting, their name is played into the conference to announce them.
Entry Tones: Short tones which "announce" when a new caller has joined the conference.
Event Services: Service which is pre-arranged, with the client's preferences for the conference noted in the reservation.
Interactive: When conference participants can both hear and be heard.

Lecture Mode Allows the moderator to place all participants in a listen-only mode (Mute All)
Listen-Only:

When participants can hear a presentation, pre-recorded message or meeting, but cannot speak or participate in the conference.

Lock: Also called Conference Security. An option available on conference call which allows the Chairperson to block any more incoming lines, including Vesta Networks operators.
Moderator: Also Chairperson. Host or leader of the meeting.
Monitoring: When operators constantly check a conference for sound quality, and make adjustments when necessary.
Operator: Employee of Vesta Networks who oversees conference functions and provides special services to conference participants.
Participant List: List provided by our clients to assist operators in screening or checking in call participants.
Participant Report: List of participants on an 866 Operator Assisted conference, customized to fit your specifications.
Passcode: A five- or six-digit code entered after participants have connected to the Vesta Networks system which directs them to the appropriate meeting.
Polling: Function performed by Vesta Networks operators who ask each participant to respond verbally, or by voting via touch tone.
Presentation Mode: Option available on conference call conferences which allows the Chairperson to mute all lines of the callers who dialed in using the Participant passcode.
Presenter: Guest speaker on a conference, but not the Chairperson.
Recording The ability to record and archive a teleconferencing call. Recordings are available on CD or in emailable MP3 format.
Repeating Call: An Event Service that recurs at a specific day/time. Conferences can be automatically booked by our Reservations Team.
Reseller: A company who uses our system to provide conference services to their clients and is paid for the service directly by their clients.
Reservation: Pre-arranged Event Service listing specific instructions for the conference.
Reservationist: Employee of Vesta Networks who assists clients with conference scheduling needs.
Reservationless Teleconferencing: On-demand conference calls that allow participants to connect with each other anytime, anywhere.
Reserver: Person at the client company who arranges for service to be performed by Vesta Networks.
Roll Call: Chairperson or operator calls off names of participants in order to verify attendance.
Security Code Also called Passcode. A five- or six-digit code entered after clients have connected to the Vesta Networks system which directs them to the appropriate meeting.
Subconference: A customization of conference setup which allows participants to be grouped separately within a conference to hold a private "meeting within a meeting."
Teleconference Bridge A device that links three or more telephone channels in a teleconference.
Video Conference Video and audio communication between two or more groups, who are in separate locations, linked by a telecommunications network.
Voicemail: Service which provides 24-hour access to a pre-recorded message, conference call or messaging system.
Voting: Also Polling. Function performed by Vesta Networks operators who ask each participant to respond verbally or by voting via touch-tone.
Web Conference An online meeting between two or more participants using web conferencing software.
